A capacity and product name are not yet a project brief. Record the place, application, buyer role, current stage, next decision, deadline, confirmed facts, assumptions and the one issue blocking progress.

Replace it with a project use case, location, operating goal, known facts, unknowns, owner and next decision.
Give every supplier the same project conditions.
Define the product and system boundary, site and interfaces, evidence, commercial terms, delivery, commissioning and local support. Leave engineering, standards and certification questions with named accountable reviewers.
RFQ information readiness
Mark 24 project, product, evidence, delivery and service fields as included, to add or not applicable. The result measures record completeness, not project quality.
Compare scope before you compare price.
Place equipment, certificate scope, warranty conditions, Incoterm, packaging, commissioning, spares and service side by side. A lower total does not mean the same system or responsibility is included.

Check that the evidence belongs to the offered product.
A file can exist and still be unusable for the decision. Record the exact model, manufacturer, report or certificate scope, date, validity, warranty conditions, packaging and service owner, then mark every mismatch.
Product Evidence Pack
Separate “file received”, “file applies to the offered model” and “file supports the current buyer decision”. Solarbe does not issue certification conclusions through this guide.
Prepare the file before anyone releases the shipment.

Put the project brief, RFQ, quote alignment, product evidence and shipment findings into one index. Record every open item, owner, date and the buyer’s decision: continue clarification, hold, conditionally release or reject.

The record does not certify the product. It shows what was reviewed, what remains open, who owns each answer and which next decision the buyer has authorised.
The files organise work. They do not replace responsibility.
Manufacturers and qualified project parties still confirm engineering, standards, certification, contracts, payment, shipment release, commissioning, warranty and site safety.
