RFQ information readiness

Mark an item “Included” only when it is written in the RFQ or an identified attachment. Use “Not applicable” only when the project owner has confirmed that the item does not apply.


01 Project and use case
Country, delivery location and site type are recorded.

Buyer, asset owner, operator and final user roles are identified.

Application, operating purpose and current project stage are stated.

Target size or quantity, decision date and expected operating date are recorded.

02 Product scope
Product family, capacity or quantity and permitted alternatives are stated.

Equipment, software, accessories and services included in the quotation are listed.

Exclusions, buyer-supplied items and local-party work are stated.

Interfaces among modules, inverter, PCS, BESS, EMS, BOS and local systems are assigned.

03 Site and grid
Site access, climate, space and environmental conditions are recorded.

Available load, electrical or energy data are named with their source and date.

Grid parameters and interconnection status are recorded, or an accountable owner is assigned.

Installation and commissioning constraints and the local responsible party are identified.

04 Standards and evidence
Target-country standards and required certifications have an accountable reviewer.

Each offered model must map to its datasheet, certificate and test evidence.

Certificate scope, issuing body, validity and regional use will be checked.

Drawings, manuals, warranty terms, software or protocol files are requested as applicable.

05 Delivery and logistics
Delivery point, Incoterm, importer and customs responsibility are stated.

Packing, container, transport, dangerous-goods and storage requirements are identified.

Quotation, production, inspection, shipment and arrival milestones are requested.

Currency, taxes, payment terms, quote validity and price inclusions are requested.

06 Acceptance and after-sales
Arrival and site acceptance records, tests and sign-off owners are stated.

Warranty owner, scope, exclusions, start date and claim route are requested.

Commissioning, training, spares, accounts and document handover are assigned.

Remote and local support routes, response targets and escalation owners are requested.

Use the result correctly

A complete question set makes the next conversation clearer.

The tool checks whether information is recorded. It does not verify the source, approve a design, confirm certification, compare suppliers or guarantee price, quality, delivery or service. Qualified and accountable people must review engineering, grid, safety, legal and commercial conclusions for the target project.
